Determined Enterprise Group ("Company," "we," "us," or "our"), founded by Larry Ford, operates Vault AI ("Vault AI" or the "Service"). This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you use Vault AI.

We collect the following categories of information:

• Account information: name, email address, password (hashed), and profile preferences.
• Payment information: billing details processed and stored by Stripe (we do not store full card numbers on our servers).
• Chat history: messages, prompts, and AI responses generated through the Service.
• Voice recordings: audio you submit for speech-to-text and audio generated by text-to-speech.
• Usage data: log data, IP address, device/browser type, pages visited, feature interactions, timestamps, and diagnostic information.
• Cookies and similar technologies: session identifiers, authentication tokens, and analytics identifiers.

• Directly from you when you create an account, subscribe, submit content, or contact support.
• Automatically through your use of the Service via cookies, server logs, and analytics tools.
• From third parties such as payment processors and authentication providers when you sign in via integrated services.

• To process AI requests and deliver responses, voice synthesis, and search results.

We do not sell your personal information. We do not use your chat content or voice recordings to train our own AI models.

To deliver the Service, we share limited data with the following processors:

• Stripe — payment processing and subscription billing.
• Supabase — authentication, database, and file storage hosting.
• Anthropic (Claude) — AI text and reasoning responses.
• ElevenLabs — text-to-speech voice synthesis and speech-to-text transcription.
• Tavily — web search and retrieval augmentation.

Each provider processes data under its own privacy policy and data-protection terms. We may also disclose information when required by law, to protect our rights, or in connection with a business transfer.

We retain personal information for as long as your account is active or as needed to provide the Service. Chat history and voice recordings are retained until you delete them or close your account. Billing records are retained as required by tax and accounting laws (typically 7 years). After account deletion, we may retain limited data in backups and for legal compliance, then securely delete or anonymize it.

Depending on your jurisdiction (including GDPR and CCPA), you have the right to:

• Access the personal information we hold about you.
• Correct inaccurate or incomplete information.
• Delete your account and associated personal data.
• Portability — request a copy of your data in a machine-readable format.
• Object to or restrict certain processing.
• Withdraw consent where processing relies on consent.
• Lodge a complaint with a supervisory authority.

We use cookies and similar technologies to keep you signed in, remember preferences, secure the Service, and measure usage. Vault AI is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If we learn we have collected such information, we will delete it promptly. Parents or guardians who believe a child has provided us with personal data should contact us immediately.

We implement industry-standard administrative, technical, and physical safeguards to protect your information, including encryption in transit (TLS), encryption at rest, role-based access controls, row-level security on our database, hashed credentials, and audit logging. No system is 100% secure; we cannot guarantee absolute security and you use the Service at your own risk.

Your information may be processed in the United States or other countries where our service providers operate. By using the Service, you consent to such transfers. Where required, we use appropriate safeguards such as standard contractual clauses.
